Construction Defect Log

Printable tracker to record defects by stage, trade, and status across the life of your build. Use one log per inspection stage and keep a copy after each builder communication.

How to use this log: Complete one row per defect. Record it the same day you find it. Note the date, location, trade responsible, a brief description, and the status. Update the status column as the builder responds. Keep all logs together with your photo evidence and any builder correspondence.

Tips for effective defect documentation
  • Photograph everything — wide shot for context, close-up for detail, measure in frame where relevant
  • Use the same file naming convention — e.g. 2025-09-12_kitchen-tile-crack_01.jpg
  • Note the time of day — some defects (e.g. condensation, cracking) are only visible at certain times
  • Reference photo numbers in this log — makes it easy to match evidence to each defect row
  • Keep original photos — never send originals to the builder; send copies only
  • Send updates in writing — text messages and emails are accepted in most tribunals as evidence; phone calls are not
